Booking with Indochina Travel

Planning your trip is a simple matter with us. Were here for you every step of the way from walking you through the planning process to creating the trip of a lifteime Below are 8 easy steps to planning and booking your trip with Indochina Travel:

1. INITIAL CONSULTATION

By phone, email, or video chat—initial discussion(s) about your trip:

  • Activities & Experiences
  • Budget
  • General Q & A
  • Recomendations & Plan

We will provide a broad range suggestions and recommendations during this initial consultation. All of our trips are private custom ones and sky's the limit—we've have planned almost every kind of of trip over the last three decades.

2. INITIAL TRIP PROPOSAL

Trip proposal plan delivered, which includes:

  • Day-to-day tour details with places, activities and experiences
  • Recommended hotels
  • Destination(s) information
  • Initial trip cost
  • Q & A

Note: complex itinerary proposals may require a planning fee, credited at booking

3. REVISED PROPOSAL

  • Trip planning deposit (fee based on trip complexity, credited at booking).
  • Revise itinerary based on feedback, revisions, if any, with adjusted cost.

4. INTERNATIONAL AIRLINES

  • Consult with us on international and other airlines (we will assist with recommendations for best flights routing and advice on mileage programs)
  • Research and reserve your international airlines.

5. CONFIRM TRIP

  • Forward reserved international airlines details.
  • Confirm trip by Registration Form with non-refundable trip deposit*
  • Secure travel cancellation, delay, and emergency Trip Insurance (ask us for a quote).
  • Trip Airlines & Hotels booked by Indochina Travel**
  • Forward information for any required visas.

*Deposit amount dependent on approximate trip dates, overall cost and complexity.
**All domestic/regional flights booked by Indochina Travel are e-tickets with confirmation numbers noted in your online itinerary. Only a passport is required for check-in.

6. TRIP PREPARATION

  • Check passport is valid for 6 months after return date
  • Review and print any required visas*
  • Obtain any needed vaccinations or updates**
  • Review final itinerary
  • Review tour guides, readings, and destination details
  • Review dining plans, with our recommendations
  • Sign Trip Waiver

*Please check and confirm visas for accuracy of dates and names.
**No vaccinations may be required for your trip and recommendations may not be accurate. For example, Japanese Encephalitis occurs during the monsoon season. Keep this in mind as you research what is recommended for the places you will be traveling in.

7. PRE-DEPARTURE

  • Submit final payment - Typically 90 days before departure
  • Final itinerary and arrival day review with Indochina Travel
  • Welcome and Introduction with local trip managers
  • Setup group chat with Indochina Travel staff
  • Review dining plans with recommendations
  • E-sign trip waiver
  • Pack for your trip (see our packing list)
  • Final confirmation, reminders and information messages from our staff
  • Final Zoom or phone chat, by preference.

*Please check/confirm visa & regional flight details.

8. DEPARTURE & ARRIVAL

  • Re-confirm and check-in online for international flights*
  • Store printed visas with your passport and have a digital backup.
  • Upon arrival in Vietnam, Laos, Myanmar, or Cambodia, meet with airport agent holding a sign with your name for expedited immigration.
  • Airport transfers are automatically arranged for all destinations, except for Japan, Singapore and Hong Kong which must be pre-arranged.
  • Important: For any issues upon arrival, please contact your local manager via chat or message, not our U.S. office which may be delayed in responding.

*Notify us by group chat if you are delayed.
